This article covers the following:
Rejecting an Invoice
You may reject an invoice if it contains significant errors or requires resubmission by the law firm. Rejecting an invoice sends it back to the submitting firm.
Before rejecting an invoice, review your organization’s policy. Common reasons for rejection include:
Excessive adjustments or flags
Incorrect or incomplete data
Incorrect fee structure
Substantial billing guideline violations
There are two ways to reject an invoice: from the Invoice Search page or the Invoice Overview page.
See this topic to understand law firm options for resubmitting.
Rejecting from the Invoice Search Page (Bulk Action)
- Place a check mark next to the invoice(s) on the Invoice Search page which you'd like to approve.
-
Click the Workflow Actions drop-down list.
- Select Reject Invoice.
The selected invoice(s) are rejected.
Rejecting an Invoice on the Invoice Overview Page
- Find the invoice.
-
Locate the buttons at the bottom of the Invoice Overview page.
- Click Reject Invoice. The selected invoice is rejected.
Overriding a Rejected Invoice
In certain situations, you may need to activate an invoice that was rejected due to rule violations. This can be done by overriding the rejection.
You must have the Invoice Administrator role to override a rejected invoice. This feature is not available for Combined Invoices.
- Click the Rejected link on the homepage Billing Panel. The Invoice Search page displays the rejected invoices.
- Click the CounselLink Invoice # for the invoice or invoices to override.
-
At the top of the Invoice Overview page, click Override Rejection.
A message displays, explaining what actions will be taken on the invoice and asking for confirmation.
- Click Yes, Activate.
The invoice is reactivated. Rejected rules are converted to flags. The Invoice History updates to reflect the override action, including the user who performed it.
Moving an Invoice
Your organization must have this feature enabled, and you must have the Workflow Administrator role to move an invoice.
- Open the invoice.
-
Click the Move Invoice icon in the upper-right corner. The Move Invoice window displays.
-
Use the search field to locate the target matter.
-
Optional: Invalid matters will display a yellow warning symbol. Hover over the icon to see why the matter is ineligible.
-
Optional: Select the Bypass Email Notification to prevent sending a notification to the law firm that the invoice has been moved.
- Click Move Invoice.
If the move is successful, a confirmation message appears. If an error occurs, an error message displays at the top of the Invoice Overview page explaining the issue.
